Terry's Take
One of the nicest phone calls we receive is when an organiser tells us their event has sold out.
It's a great feeling, all that planning and hard work paying off. But selling out isn't always the end of the story. I've seen organisers realise afterwards that they'd left tickets available for the wrong session, oversold a category by accident, or forgotten to adjust a capacity after changing something else about the event. Those mistakes are usually easy to avoid, but only if you've thought about them before tickets go on sale.
Getting your capacity settings right doesn't just protect your event. It gives you confidence that every ticket sold has a genuine place waiting for it.

In Focus
Every event has a limit somewhere, the size of your venue, the number of seats in the room, or simply how many people your team can comfortably look after on the day.
123 Tix gives you several ways to reflect that limit properly: caps on individual ticket types, a combined cap across multiple categories, control per session, or one limit across your whole event. Getting the structure right at setup means you're not untangling an oversold category the week before doors open.
123 Tix Platform Update
Capacity Limits
Capacity Limits let you control ticket availability at every level of your event. Whether you need to cap VIP tickets, manage a combined General Admission allocation, control numbers for individual sessions, or set one ceiling across your entire event, you decide exactly how many tickets can be sold, and where that limit applies.
Orphan Seats
For seated events, Orphan Seats stops your seating map from filling up with awkward, unsellable gaps. When it's switched on, a customer can't complete a seat selection if it would leave a single empty seat stranded between their booking and another booked seat, an aisle, or the end of a row. If you'd rather give customers complete freedom over where they sit, you can simply turn it off and let single-seat gaps happen.

Waitlist Enhancements
Selling out is only the start of the story if you've got a way to capture what happens next. We're developing improvements to waitlist management, giving organisers better tools to fill vacancies as they become available once an event reaches capacity.
Help Other Organisers Find Us
If 123 Tix has made your events easier to run, we'd love it if you could share that on Trustpilot. It only takes a minute, and it helps other organisers know who to trust with their next event.

Industry Watch
Selling tickets in stages is becoming more common.
Rather than releasing every ticket at once, many organisers are choosing to stagger releases across a campaign, holding back allocations for a later marketing push, or releasing more as demand becomes clearer. Combined with well-managed capacity settings, staged releases give organisers far more control over how an event actually sells.
Did You Know?
Did you know there's a real difference between how many tickets exist and how many one customer can buy at once?
Capacity Limits control your total inventory, how many tickets are available across a category, session or event. Limit Tickets Within Category is different: it caps how many tickets a single customer can take from a category in one order, counted across every ticket type inside it. Without it, a campsite category with Adult and Child tickets each capped at ten could still let one customer book twenty spots in a single order. Set a whole-category limit instead, say, six people in any mix, and one order can no longer accidentally clear out six campsites. Leave it blank and nothing changes for your existing events.
One Action. One Click. One Improvement.
This Week's Action
Review your capacity settings before your next event goes on sale.
Check your overall event capacity, your individual ticket limits, and whether a category-wide order limit would protect something with a genuinely fixed capacity, a table, a cabin, a campsite, before tickets go live.
A Gentle Reminder
We sent a dedicated update earlier this month on the RBA's new card payment surcharge rules, coming into effect 1 October 2026. If you haven't had a chance to look at it yet, or you've got events going on sale for dates after that, it's worth a quick check now rather than a scramble later.
In short: from 1 October, a separate surcharge can no longer be added to designated Visa, Mastercard or eftpos payments, so any card processing costs need to be built into your advertised ticket price instead. If your event currently uses the Pass On Fees option, this is the thing to review first.
Questions? Get in touch with our team, we're happy to help you get sorted before the deadline hits.
Need a Hand?
If you're planning a multi-session event, working with seated capacity, or you're just not sure which capacity settings suit your event, our team is always happy to help.
